GAIA SQUAD

Hi, I'm Tara.

I know your team. I act when it matters. I own the work through to done. Your digital HR teammate.

A letter from Tara

Let me see if I have your situation right.

Hi there — Let me guess why you're reading this.

Your team has outgrown the early-stage way of doing things — one founder holding everything in their head, every question routed to “ask Isabel” — and it's starting to break. Decisions you made six months ago get forgotten and rediscovered every time someone new asks. You've tried tools — copilots that make individuals faster, chatbots that forget what you discussed yesterday. None of them feel like a teammate. None of them own the work. None of them help the team move as one.

That's where I come in. I sit in your Slack, I learn your team, I act when work calls for it, and I own the outcome end-to-end. When you need an HR policy drafted to your team's actual reality, I draft it. When a follow-up needs to happen, I follow up. When the loop needs closing, I close it. I work within boundaries you set — only the Slack channels you invite me to, always through my own accounts, never yours.

I'm new. So is GAIA, the company that built me. We haven't been around for twenty years. But the work I do is real, and the way I do it is built on values you can verify by talking to me — or by reading the honest answers below.

Onboarding me is a one-click, zero config affair. Talk soon,

Tara

How I help

What I do, in plain English.

I sit in your Slack, listen to the conversations that already happen there, and turn them into something your team can come back to. Decisions get remembered. Questions get answered with what your team actually said, not generic internet wisdom. New hires get a colleague who already knows how things work.

When the work needs doing, I do it. I draft HR policies that match your team's reality, not a generic template. I schedule the follow-ups, send the documents, run the checklists, and close the loop. When something needs specialist depth, I bring in the right teammate from my Squad. I don't just retrieve information — I produce work, and I own it through to done.

Copilots make individuals faster. I do something different — I make the team coherent. Knowledge stops living in one person's head. Conversations stop being ephemeral. Responsibility stops falling through the cracks. The team gets a memory, and the work gets an owner.

The Trinity of Trust

How I earn your trust.

I
I remember.
Most AI tools forget the conversation as soon as it ends. I don't. I build a lasting memory of what your team decides, what works, and what doesn't — so the next person who asks a question gets the answer, not a guess.
II
I act with judgment.
I'm not a chatbot waiting for a prompt. When the situation calls for it, I take initiative — draft the message, schedule the follow-up, flag the gap — within the boundaries your team sets. You stay in the driver's seat.
III
I follow through.
Things fall through the cracks when nobody owns the loop. I own the loop. If I say I'll send the document, I send it. If I commit to checking back, I check back. Reliability is the point.
The Squad

I don't work alone.

Behind the scenes, I work with a small squad of specialists — each one focused on a specific kind of work. Policy authoring, communications, document drafting, follow-ups across systems. You don't have to think about them or manage them. When something needs deeper expertise, I bring in the right teammate.

That's the difference between a chatbot and a team. A chatbot has one model and one bag of tricks. I have colleagues. The user-facing experience stays simple — you talk to me — but the work that gets done is the work of a coordinated team, not the output of a single model trying to be everything.

Honest answers.

Q: Do you have access to all my Slack messages?

A: Only the channels you invite me into.

Q: Who controls my team's data?

A: You do. I read the Slack channels you invite me to, and I work in your Google Workspace within the permissions you grant me — nothing more.

Q: Can you accidentally share my documents or emails?

A: No. I use my own Google Workspace account — never yours. I can read documents you share with me, but I can't write back to or share from your account.

Q: Do you integrate with Google Docs, Slides, and Drive?

A: Yes. I read, edit, and create documents in your Google Workspace — through my own account, which is under your organization.

Q: Do you have a mobile app?

A: You already do — Slack's. I work where your team works, on whatever device they use.

Q: Can you work in group chats?

A: Of course. Group threads are my preferred playground — most of my best work happens with multiple people in the room.

Q: Can I interact with you via email?

A: Yes. I have my own Google email address. I only correspond with people inside your organization, though — keeping email closed to outsiders reduces the security risk.

Q: Can you manage tasks?

A: Yes. I keep my own internal ledger, and I sync with Google Tasks under my own account when that helps.

Q: How long do you remember things?

A: Forever. You'll never lose a past conversation or an HR policy. Storage quotas may apply as your team scales — you'll always get a heads-up first.

Q: How big is the team behind you?

A: A small squad of specialists, each focused on a specific kind of work. I coordinate; they execute when their expertise is needed. You'll only ever talk to me.

Q: Do you hallucinate?

A: Very rarely. I answer using your team's own knowledge and curated HR sources — not the open internet. I provide citation links when I reference Slack messages or official HR policies. When I don't have the answer, I tell you instead of making one up.

Q: Do you speak French?

A: Oui, absolument. Y también español. English, French, and Spanish — all three.

Q: What happens to my data if I leave?

A: GAIA doesn't hold your source of truth — Slack and Google Workspace stay your systems of record, unchanged. What lives on our side is just what I need to do the work: indexes, summaries, and the history of our chats. Leave anytime, and we erase everything we hold.

Q: Can I self-onboard today?

A: Yes. Your Slack or Teams admin installs me in one click. No config, no credit card required.

Q: Are you strictly HR?

A: HR is my specialty. My Squad teammates handle the rest.
